CoolerDuty helps beer league teams run their schedule, roster, availability, and cooler duty. This page explains what we store, who we share it with, how long we keep it, and how to delete it. Questions go to privacy@coolerduty.com.

What we collect

  • Your account: your name and email address. If you sign in with Google, we also receive your Google profile name and picture.
  • Login sessions: a session record with the IP address and browser you signed in from, used to keep you logged in and to protect your account.
  • Team rosters: details a team manager enters about players, such as name, email, name plate, jersey number, captain letter, and position preferences. A manager can add you to a roster before you have an account.
  • Team activity: games, availability, cooler duty assignments and history, saved rinks, links, and team settings.

We don't use analytics or advertising trackers. The only cookie we set is the one that keeps you logged in.

How we use it

We use this information only to run CoolerDuty: to log you in, show your teams what they need to plan games, and send email you've asked for or that keeps the team working, such as login links, roster invitations, game reminders, and cooler duty notices. We don't sell your information or use it for advertising.

Who can see it

  • Teammates can see the roster, availability, and cooler duty for their team. Only team managers can see teammates' email addresses.
  • If a team turns on public game pages, anyone can see that team's schedule, game details, rinks, and scores. Player names, availability, and cooler duty are never public.
  • If a team turns on its public roster, anyone can see players' names, jersey numbers, name plates, and captain letters, and search engines may list that page. You can hide yourself from any public roster in your account settings.

Services we rely on

We share information with these providers only as needed to run the service:

  • Cloudflare hosts the app and stores its database.
  • Resend delivers our email.
  • Google provides sign-in with Google (if you choose it), rink search, and the maps on game pages. When a map or rink search loads, your browser contacts Google directly.

These providers may process data outside your country, including in the United States.

How long we keep it

  • Your account stays until you delete it.
  • Login sessions expire 30 days after you last use them.
  • When a manager removes someone from a roster, the roster entry is hidden but kept so it can be restored. Ask us at privacy@coolerduty.com if you want it erased.
  • Database backups roll off within 30 days, and our email provider keeps delivery logs for up to 30 days.

Deleting your account

You can delete your account any time from your account settings. We delete your account, logins, and sessions right away. On each of your teams, your roster entry becomes an anonymous "Former player" with no name, email, number, or positions, so past games still add up without identifying you. Backup copies roll off within 30 days.

If you're the only manager of a team, you'll need to promote someone else or archive the team first.

Your rights

Depending on where you live, including the EU, the UK, Canada, and some US states, you may have the right to access, correct, export, or delete your information, and to object to how we use it. You can correct your details in your account and team pages, and delete your account yourself. For anything else, email privacy@coolerduty.com and we'll respond within 30 days. You can also complain to your local data protection authority.

Children

CoolerDuty is meant for adults and isn't directed at children under 16.

Changes

If we change this policy, we'll update the date at the top. For significant changes, we'll let account holders know by email.
